We’re looking for an Operations Lead to become the right hand to our CEO and play a vital role in ensuring the smooth running of our indie studio. This is a unique opportunity to contribute to an exciting, fast-paced environment where collaboration and creativity thrive.

Your Role
As our Operations Lead, your tasks will include:
Office Administration
- Oversee day-to-day office operations to ensure an efficient, organized workplace.
- Purchase office supplies, IT software/hardware, and food and beverages.
- Organize agency-wide events, team-building activities, and meetings.
Finance Support
- Assist our book keeping agency with finance-related tasks such as invoicing, bookkeeping, payroll, expense reporting, payments, budgeting, and investment overviews.
HR Support
- Onboard new hires and maintain employee records.
- Manage discussions with freelancers, contracts, sick leave, and employee well-being.
- Plan performance reviews, professional development, and team travel or studio days.
Executive Support
- Provide daily administrative support to the CEO.
- Manage correspondence, sales support, project planning, process optimization, and resourcing.
- Prepare reports, presentations, and materials for internal and client meetings.
- Act as the liaison between the CEO and internal/external stakeholders.
Operational & Strategic Coordination
- Collaborate with team leads to streamline processes and support project delivery.
- Lead and coordinate internal and external projects.
- Participate in strategic discussions with leadership, focusing on growth, investments, and long-term planning.
Key Qualifications
We’re looking for someone who thrives in a fast-paced, dynamic environment and has a proactive, solution-oriented mindset.
- Bilingual proficiency in English and Swedish. Strong written and verbal communication in both languages is essential.
- Proven experience in a similar role, ideally in a creative or professional services environment.
- Exceptional organizational, administrative, and time-management skills.
- Familiarity with finance software, administrative tools, and HR processes.
- Ability to maintain confidentiality and exercise discretion.
- A collaborative spirit with a “can-do” attitude.
Bonus Skills
- Experience in team coordination or people management.
- Knowledge of branding, marketing, or the creative industries.
- Background in copywriting, service design, product, or growth strategy.
- Experience with client/project management, particularly web or complex projects.
- UX design or UX strategy / or Strategic copywriting or UX-copy expertise (billable in specific projects).
